Minutes March 19, 2024 Business Meeting

WELCOME Diane S opened the meeting at 7:01 and assured everyone that she was here only to run the meeting.

The Preamble, Responsibility Statement and the Serenity Prayer were read.

INTRODUCTIONS Everyone in attendance introduced themselves.

DCM/ALT DCM Report Diane explained that Donna has stepped down from the position as DCM.  Diane has agreed to run the meeting for the next three months, or until a new DCM is elected sooner. We will be going out of order to accommodate Herb S. who needs to leave. He will speak regarding our new website. (see notes below under Website) No official report was made.

SICK AND DECEASED Jim Chase, Hugh Corcoran. (former DCM) and Jim Malone.

CONCEPT III was read by Fred P. and Tradition III was read by Gene D.

APPROVAL OF THE MINUTES A motion was made by Jeff K to approve the February minutes. Gene D seconded the motion, and the motion was PASSED unanimously.

COMMITTEE REPORTS

  • Accessibilities Sharon reported that she is the representative to the Soberfest for Accessibilities.   Volunteers are needed and there is a meeting on-line every Wednesday.
  • Treasurer The beginning balance 7735.37, 24.50 for refreshments, 240.00 in donations leaving a balance of 7951.22.  A proposed budget was created, and clarifications were made about seed money versus donations.  The budget is a proposed budget and will probably need some adjustments going forward.  17.00 is budgeted for monthly zoom meetings, but we are not using that money at the present time. It was noted that the Gratitude Breakfast, which was seed money, is not scheduled for this year.  We will send out feelers to see who might be interested in running this event. Scheduled allotments in the budget should be spent.  Even if we vote on the budget as presented, we can always go back and modify it.  Dave H. made a motion to accept the budget.  It was noted that a future expense will be to fund the website.  The motion PASSED with one NO vote. 
  • Soberfest flyers regarding the registration for the Soberfest event and a registration form for camping will be going out soon.  It is in a new place on June 7, 8th and 9th near the Massachusetts border.  There is very limited site for RV’s – only 10 sites with electricity and water.   • District Operations and Guidelines.  Robbie is not here as he indicated that his role has been completed.  We are waiting for the indices.  There are some corrections to be made.  There will be copies available at future meetings of the Agenda and Minutes according to the By-laws.  Please send all corrections to Alicia (District Secretary) to forward on to Robbie.  Alicia will clarify if he will make corrections and create the index.
  • Website Herb S. explained that he was contacted by Donna to ask if he was willing to design a website for our district, similar to district 20. The URL for us is AD19A11.0RG This is a beginning.  He will be the Webmaster and as such will post any information or notices that people wish to have placed on our site. Paul B. will be the intermediator for us.  In the meantime, feel free to contact Herb at herb@herbswartz.com. Sharon asked if our URL was attached to Google, and the answer was that you can access the website from any browser.  Sharon also asked if the website was accessible to read on the website could be converted to audio for the visually impaired people. This is not an option currently.
  • Answering Service has requested an increase in the budget.  If the budget is increased, then the Area will cover the cost of district answering service.  Fred’s full report will be provided. 
  • ***Reminders for upcoming events were made.  Round-up and the Pre-Conference Assembly on April 6th.
  • New Business - Diane read the qualifications for DCM.  She asked if anyone was interested in this position, and no one responded.  This question was tabled for the next meeting.  It was proposed that we ask Herb to post the open position on the website.
  • Old Business Sharon pointed out that there is an error on the front page of the schedule.  The second “a” in the URL is missing. Dawn asked for clarification about the Gratitude Breakfast.  No seed money was budgeted for this event.
  • Dave H. made a motion to adjourn the meeting. The motion was seconded, and it was passed Unanimously.
  • The meeting was adjourned with the Lord’s Prayer at 8:10pm.
